Simpatico Systems worked with a large legal client as it tried to understand what AI and automation would mean for its day-to-day operations. Many firms were questioning how to stay competitive as technology accelerated and client expectations shifted.
“This law firm was concerned about what AI and automation would mean for their operations especially with clients expecting fewer billable hours due to automation and AI,” says Cory Ruthardt, President of Simpatico Systems.
They wanted to use AI and automation to reduce staff on projects while improving outcomes, modernizing case management, optimizing staff and delivering faster, smarter results. And Simpatico had the right solution.
How a Copilot Agent Helped
Following a year-long data cleanup and cloud security initiative for the law firm, Simpatico built a Copilot AI agent to transform case management. “Data cleanup was crucial for capitalizing on AI and automation. Structuring the data and adding context helped them adopt AI solutions more quickly,” says Cory. The agent ingests case information, analyzes similar cases and generates risk profiles and win-probability assessments.
The pilot program began with a group of attorneys and paralegals in a high-volume, fast-turnaround environment, building trust and proving the agent’s value. “Lawyers are notoriously difficult with adoption. We started with a pilot of 150 lawyers and now attorneys are actively trying to join because of the results,” Cory adds.
From the start, the Copilot agent was designed to make a tangible impact across the firm. It supports multiple practice areas, including paralegals and client onboarding. “The agent improves response times, reducing client onboarding from 3–5 days to less than one business day, optimizes labor for paralegals and enhances conversion rates,” Cory explains.
Security and compliance were built in from day one. “Copilot deploys within a customer’s environment where data is already protected, giving the law firm confidence,” he says. And being a Pax8 partner ensured Simpatico was informed and supported throughout the entire agent-building process.
