Customer Zero: An MSP Takes on AI First

How LeafTech Stays One Step Ahead as Copilot Experts

Chris McAree LeafTech CEO

AI is the future, but it’s tough to sell something you haven’t used yourself.

As a fast-growing managed service provider (MSP) with a nationwide client base, LeafTech recognized the transformative potential of AI but faced early skepticism and fragmented adoption. Could a productivity tool like Microsoft Copilot live up to its promise? And could they successfully implement it for clients looking for that productivity boost?

There was only one thing to do: Use it and see for themselves.

How Pax8 Helped

LeafTech became their own “customer zero” and provisioned Copilot to themselves, so they could learn the ropes and find out how to best advise their clients in AI adoption.

Though they had early (and understandable) concerns about data security and how best to use the tool at their company, they knew AI was essential for staying competitive. So, they had Pax8 help them make the most of Copilot.

LeafTech consulted with Pax8, who identified some immediate data security and governance concerns. With deep Microsoft expertise, Pax8 was able to quickly address these blockers by highlighting Microsoft’s “walled garden” approach, ensuring their data would remain protected and private as LeafTech implemented Copilot.

With data and governance secured, Pax8 continued to guide LeafTech through the adoption of Copilot. Expanding on those learnings and by doing their own experimentation, LeafTech came to understand how a well-crafted prompt could turn a generic AI response into a tailored, high-value deliverable. Very quickly, LeafTech was using Copilot regularly for tasks like standard operating procedures (SOP), drafting emails, summarizing meetings, PowerPoint presentations and more.

“Copilot is like your day-one intern — it needs clear instructions but can do amazing things,” says Jacob Baughn, LeafTech’s Director of Technical Services.

With Pax8’s support, LeafTech rolled out Copilot licenses in phases to their team.

“Staff has responded very positively — we have not had any employees come to us concerned that we are looking to replace their jobs,” Baughn says. “Our early adopters have been developing novel use cases and helping us refine prompts and understand where else we could use Copilot in a beneficial way for the business.”

Outcomes and Results

LeafTech soon became Copilot experts themselves — taking advantage of its capabilities and experiencing time-saving ROI. They were able to reduce the time spent on client follow-up tasks by 75%, cutting their average completion time from one hour to just 15 minutes. This efficiency gain alone translated into more than $150,000 in annual value time saved. Additionally, according to CEO Chris McAree, even a single SOP, which once could take a half-day to complete, could now be finished in under 30 minutes.

“My team now has more information at their fingertips quicker than ever,” McAree says. “If I’m a small shop, I can now close more tickets and do research more quickly, even though I may not have the resources of the bigger guys.”

Beyond time savings, Copilot helped LeafTech transform their operations, from triaging tickets to documentation.

“We believe in the missions of Microsoft and Pax8,” McAree says. “Copilot has been an unbelievable tool for us and our clients, and we’re continuing to see more and more adoption every day.”

“Copilot has been life changing. If you’re not doing it, other MSPs are — and they’re going to eat your lunch.”
